Myers Roofing had outgrown an office process built around paper job sheets stored in wall-mounted folders. The method had served the business at a smaller scale, but increasing enquiry and job volumes made it difficult for the team to respond quickly and maintain a clear shared view of the work.
Learning the real workflow before designing the software
EasyMediaUK spent a week shadowing people across the business. That discovery period revealed how enquiries, quotations and jobs actually moved through the office—not simply how the process appeared on a blank specification.
The objective was not to discard every familiar working practice. We translated the useful logic behind the paper system into a shared digital platform, removing the physical bottlenecks while retaining a workflow staff could recognise.
Connecting the website directly to the sales response
EasyMediaUK also designed and built the public website. When a prospective customer submits an enquiry, the system captures their contact information and the initial job details needed to begin a quotation, then creates the lead directly within the CRM.
An acknowledgement SMS is sent within approximately 20 seconds. That immediate response reassures the customer that the enquiry has arrived and begins warming the lead while the office team prepares the personal follow-up.
Faster response, stronger conversion
For a customer requesting roofing work, a long silence creates an opportunity to contact several competing contractors. By shortening the gap between submission and acknowledgement, Myers Roofing was able to respond while intent was still high and reduce the likelihood of an interested customer continuing their search elsewhere.
The CRM replaced dispersed paper records with a more visible operational view, helping the growing business manage enquiries and live work without relying on somebody locating the right sheet in the right folder.
Software shaped around the business
The system remains in use today. Its longevity reflects the value of beginning with direct observation: the website, lead response and internal platform were designed as connected parts of the same customer and operational journey.
